Executive Assistant / Team Assistant
London (fully onsite) | Inside IR35

You’ll be joining a major global financial services organisation as a Team Assistant, providing dedicated support to a group of Senior Directors and Managing Directors within a high-profile Technology Leadership Team. It’s a fast-paced, high-trust role at the heart of a global function, where no two days look the same and your organisational skills will genuinely make a difference.

Key Responsibilities

  • Provide extensive diary management and scheduling support for multiple senior technology leaders, proactively prioritising meetings and preparing briefing papers in advance
  • Coordinate visitor schedules and act as host for meetings and events, liaising confidently with executive colleagues across the wider group
  • Handle high-level queries and manage highly sensitive, confidential information with discretion
  • Plan detailed itineraries and book all travel arrangements, including flights, hotels, taxis and visas where required
  • Collate and distribute papers, reports and presentations for senior committees, Board meetings and other high-level engagements
  • Oversee expense claims, leave requests and travel administration for the management team
  • Draft high-quality, accurate communications and support wider departmental meeting organisation, agenda preparation and new starter set-up

What You’ll Bring

  • 3+ years’ experience as an Executive Assistant or Team Assistant, supporting multiple Directors in a fast-paced corporate environment
  • Confidence liaising with senior management, with excellent written and verbal communication skills
  • Degree educated (or equivalent), with advanced MS Office skills and strong organisational ability
  • A proactive, discreet approach to handling confidential information and competing priorities
  • Desirable: previous experience within Financial Services and/or Japanese language skills would be an advantage
